Same day dispatch means the job is booked, allocated, collected and delivered inside the same working day, often inside a two-hour window. Dispatch is the allocation step: matching the job to an available driver and pushing it to their app in minutes. See what changes when you stop allocating by phone. The distinction matters when you are quoting a 90-minute collection-to-drop: sameday courier software has to move as fast as the promise.
How InstaDispatch powers same-day delivery operations
InstaDispatch is a cloud-based courier and delivery management platform built for same-day and last-mile operations. It is used by UK same-day and multi-drop courier firms, from a few vans to multi-depot operators, and by delivery teams in Canada, Australia, Colombia, the UAE and India. The company is based in Northampton and has been building courier software since 2012. The platform covers the full same-day workflow in one system — from booking to dispatch to ePOD to invoicing.
Automated dispatch logic
Configurable rules assign every job automatically — by nearest driver, vehicle type, account or pool — so controllers manage exceptions, not routine allocation.
Route optimisation in real time
Routes recalculate live as jobs arrive and windows tighten, resequencing each driver’s drops by GPS position and load — no manual re-optimising, no bottleneck.
Multi-drop, recurring and scheduled work
Multi-drop runs, recurring bookings and fixed delivery days sit beside urgent ad-hoc jobs in one dispatch view, split by depot, region or customer for larger teams.
Branded driver app and customer portal
A branded portal and driver app carry your brand across booking, tracking and ePOD, with navigation, scanning, OTP handover, vehicle checks and live chat in one app.
Two-way transport exchange integration
A native two-way UK transport exchanges link: post loads, quote with your margin, assign, track the exchange driver live, and pull the POD and invoice — no re-keying.
Invoicing and billing automation
Automated billing from your pricing rules — distance, zone, vehicle, time bands and rate cards — creates branded invoices and works with QuickBooks, Xero and Sage.
Same-day delivery software vs general delivery management software
Same-day delivery software is designed for continuous, dynamic operations where jobs arrive throughout the day and need to be dispatched, routed and tracked in real time. General delivery management software is typically optimised for planned, batch-imported routes executed at the start of a shift. The key operational differences are dispatch speed (automated, immediate assignment vs manual or batch allocation), dynamic routing (real-time resequencing as new jobs arrive vs static pre-planned routes) and ETA accuracy (rolling GPS-based ETAs vs static time windows). Same-day platforms are also more likely to connect to the UK transport exchanges, which matter to same-day courier businesses but are irrelevant to planned-route operations.
Getting started: setup and onboarding
With our team’s help, your first job can go live within one working day; full set-up usually takes 1–3 days. Set-up covers account setup, driver imports, pricing rules, dispatch-rule configuration and integration connections. InstaDispatch is cloud-based with no on-premise installation, and UK-based onboarding support is on hand for configuration questions. Each driver downloads the app from the App Store or Google Play, signs in with the account you create for them, and is ready to receive jobs.

Frequently asked questions
What is same day dispatch?
Same day dispatch means the job is booked, allocated, collected and delivered inside the same working day, often inside a two-hour window. Dispatch is the allocation step: matching the job to an available driver or subbie and pushing it to their app.
Which same-day couriers use AI dispatch?
Same-day couriers on InstaDispatch use rules-based automatic allocation: the controller sets the rules (vehicle type, position and current load) and InstaDispatch auto-broadcasts each job to matching drivers and subbies in seconds. The controller can override any allocation from the live board.
What is the difference between same-day delivery software and general delivery management software?
Same-day software dispatches and re-routes jobs as they arrive through the day; general delivery management software plans batch routes at the start of a shift. Same-day platforms also connect to the UK transport exchanges.
Does InstaDispatch integrate with the UK transport exchanges?
Yes. InstaDispatch has a native two-way integration with the UK transport exchanges. You post loads from the dispatch screen, receive quotes with your margin calculated, assign the job to an exchange driver, then track that driver and collect the POD inside InstaDispatch alongside your own bookings. There is no re-keying between the two systems.
What carriers does InstaDispatch integrate with?
InstaDispatch integrates with DHL Express, DHL eCommerce, UPS, FedEx and DPD, connected directly or through DSV. These integrations let you manage both own-fleet deliveries and carrier shipments through a single platform — generating carrier labels, tracking shipments and recording ePOD against carrier jobs alongside your own driver jobs. For operations that use carriers for out-of-area or overflow deliveries, this means a single system of record rather than separate carrier portals.
How long does it take to set up InstaDispatch for a same-day courier operation?
With our team’s help, your first job can go live within one working day; full set-up usually takes 1–3 days. Set-up covers account setup, driver imports, pricing rules, dispatch-rule configuration and integration connections. InstaDispatch is cloud-based with no on-premise installation, and UK-based onboarding support is available for configuration questions. Each driver downloads the app from the App Store or Google Play, signs in with the account you create for them, and is ready to receive jobs.
How much does InstaDispatch same-day delivery software cost?
A starting plan that includes your first shipments each month, then pricing that grows with your volume. Extra features are optional add-ons. Every plan starts with a free trial of 14 days or 50 shipments, whichever comes first, with no credit card needed. Full details are on the pricing page.
Is InstaDispatch better than Track-POD, Onfleet, eLogii or Spoke Dispatch for same-day work?
It depends on what you run. If you are a UK courier posting and quoting exchange work, taking ad-hoc bookings through a branded portal and invoicing from rate cards, InstaDispatch covers all of that in one system. If you run planned multi-depot distribution with a large fleet, eLogii is worth a look. If your work is entirely pre-planned multi-drop routes with a small team, Spoke Dispatch is simpler. Onfleet and Track-POD are strong on dispatch and ePOD respectively, but we couldn’t find built-in customer invoicing or a UK transport exchange connection on either website (checked October 2026).
Can my customers book and track same-day deliveries themselves?
Yes. Customers use a branded portal, under your branding, to get a quote with postcode lookup, book a job, follow the driver in real time with a rolling ETA, receive SMS or email updates and download invoices. Bookings from the portal go straight into the dispatch queue.
Does InstaDispatch handle recurring and multi-drop same-day bookings?
Yes. Recurring bookings create jobs automatically on a schedule, fixed delivery days can be set for defined areas, and multi-drop runs are optimised so a driver delivers multiple consignments in one trip. Urgent one-off jobs sit alongside them in the same dispatch view.
How do I pay subcontractor drivers from proof of delivery?
When a subbie completes a job, the proof of delivery closes it in InstaDispatch and the job flows straight into self-billing, so subbie statements come from the same completed jobs as your customer invoices. There is no re-keying.
Does it work for a small courier firm with a few vans?
Yes. Add your drivers and start booking jobs: with our team’s help, your first job can go live within one working day. Every plan starts with a free trial of 14 days or 50 shipments, with no credit card; see the pricing page.
Where is my data stored?
In the UK, on AWS servers in London.
