
How ASB Furniture built a precision white-glove delivery operation
ASB Furniture delivers thousands of sofas, beds and appliances across the UK every month — and every delivery is high-value, high-risk. Here's how we designed a system that turned scheduling complexity into precision logistics.

White-glove delivery looks simple from the outside: a van arrives, furniture gets delivered and assembled, everyone's happy. The reality is far more complex.
When ASB Furniture came to InstaDispatch three years ago, they were managing their entire operation through WhatsApp and manual scheduling. They had two large retail customers and a simple problem that wasn't simple at all: how do you deliver a five-thousand-pound bedroom set when the customer absolutely must be home to receive it?
Unlike a parcel you can leave on a doorstep, large furniture demands the customer's presence. Someone has to be there to accept it, to show where it goes, and often to have it assembled on the spot. Miss that window, and you're rescheduling — and storing bulky, expensive items in your warehouse while you wait, racking up cost and inefficiency. The whole operation lives or dies on one thing: getting customers to commit to a delivery window and actually be there when you arrive.

The Real Challenge Is Communication
We recognised early on that the winner in white-glove delivery isn't the company with the fastest vans — it's the one with the best customer communication. So we worked with ASB to design a notification system built specifically around this problem.
When an item arrives at ASB's warehouse, the customer is notified that it's been received and a route will be planned. Once a delivery slot is scheduled, the customer is asked to confirm or reject. If they confirm, they're locked in — and motivated to be there, because they know rescheduling means waiting days for their furniture. If they reject, the shipment is automatically pulled from the route, freeing that capacity instantly so another delivery can take its place.
On the morning of delivery, customers receive a precise two-hour time window. After delivery, a post-delivery survey closes the loop. Every step is designed to keep the customer informed, engaged, and present.

Protecting Every Delivery
High-value delivery carries high-value risk. A disputed delivery isn't a few pounds lost — it can be thousands. A damage claim during installation can be just as costly. So we built ASB a proof-of-delivery system that leaves nothing to chance.
Every delivery captures a signature, five to six photographs, the exact location where the item was placed or installed, the driver's GPS route, and timestamps throughout. If a customer later disputes a delivery — or a chargeback comes through from a card company claiming nothing was received — ASB can respond with complete proof: the route taken, the time of arrival, geolocation, and images of the delivered item at the door.

Efficiency That Protects Margins
Large vans are expensive to run, and a half-empty van on a poorly planned route is money lost — you're paying the same driver rate and fuel cost whether the van is full or not. InstaDispatch's route planning lets ASB cluster deliveries by geography and confirmed availability, keeping vans full and routes tight. Combined with the confirmation system that strips out unavailable customers before the van leaves, every run is as efficient as it can be.
The Result
ASB Furniture has grown from two customers to more than fifty furniture retailers, delivering three to five thousand items a month across the UK. Because each delivery is high-value, their revenue rivals parcel companies many times their size in volume. They've moved from manual WhatsApp coordination to a precision operation where scheduling, communication, proof and efficiency all work together.
