How Mayfield Eggs scaled from manual processes to automation

From Excel spreadsheets and manual routing to automating thousands of subscriptions a month — Mayfield Eggs transformed their delivery operation by rethinking their entire ecosystem. Here's how InstaDispatch became the backbone of their growth.

Five years ago, Mayfield Eggs faced a familiar problem. Their subscription egg delivery business in Oxfordshire was growing, but their operations weren't keeping pace.

Every morning, orders were manually filtered by postcode, routes were built on spreadsheets, and drivers were given load sheets with hopes they could sequence deliveries efficiently enough to complete their rounds on time. It worked at small scale — three thousand deliveries a month — but it wasn't sustainable.

The challenge

The Challenge Wasn't Just Routing

The real challenge wasn't just routing. It was the entire chain: subscriptions needed payment processing at exactly the right moment, customers needed the ability to cancel orders before a cutoff time, orders had to flow into the delivery system automatically, and drivers needed to know not just where to go, but the optimal sequence to complete their round within their shift.

Every morning meant hours spent exporting, reorganising, and manually coordinating. They tried a few solutions, but nothing quite fit. Then they connected with InstaDispatch and realised they needed more than software — they needed someone who understood the operational puzzle.

The solution

Designing the Full Picture

Rather than just implementing a routing tool, InstaDispatch worked with Mayfield Eggs to architect an entire automation ecosystem. WooCommerce handles the subscription logic — payment processing, cutoff times, and cancellation rules. Once an order passes the cancellation cutoff, it automatically flows into InstaDispatch without any manual export. From there, InstaDispatch owns the delivery: clustering orders geographically, calculating optimal routes with time estimates, and assigning deliveries to drivers in the right sequence.

Customers get visibility throughout the journey. They receive order confirmation from WooCommerce, then real-time notifications from InstaDispatch showing their delivery ETA and, once completed, proof of delivery with a photo of where their eggs were left.

The result

The Result

Mayfield Eggs has grown from three thousand to seven thousand deliveries a month. They went from manual daily routing to coordinated fleet operations executing optimised routes. The administrative work that used to dominate mornings — filtering, sequencing, printing load sheets — now happens automatically. The team can focus on running the business: growing the commercial side, expanding their customer base, and improving operations rather than managing logistics firefighting.

Before and after: a spreadsheet and hand-drawn round on the left, the InstaDispatch smart route-planning interface on the right
Before and after — from spreadsheets and hand-drawn rounds to clean, optimised route planning.

And because the foundation is built right, they can keep growing without the operation breaking. The system scales with them.

“Scaling doesn't require replacing your entire operation. It requires someone who understands both your business and your logistics challenges well enough to design a solution that actually fits.”
